Accounting Over Sometimes
you just want to erase all the previous years’ checks
and deposits and start over with your accounting system.
But
maybe you want to erase all the previous years’ checks
and deposits AND erase the Chart of Accounts.
But
it is scarey to erase accounting information. There are
several ways to erase old data and keep a copy for historical
purposes.
You
can always make a copy or backup of your data to keep on
a CD and reload it when needed. This is cumbersome and you
can lose the CD. Here are several solutions to keep the
data on your computer but out of sight.
Here
are several ways of starting over. We urge you to make a
copy of your current data on a CD, zip drive or thumb drive
before you start. Make certain any ChurchPro passwords are
disabled before you make the copies or backups. We assume
no responsibility for the outcome. And we don’t offer
any further support on this process. Move forward at your
own risk. We have used this for many churches and it works
well only if you follow directions.
If
you are about to put in the ChurchPro2006 upgrade, you can
keep old data and new data easily. Install and upgrade ChurchPro2006.
It will create a new icon on your screen. So, now you will
have an icon for CP2004 and one for CP2006. In ChurchPro2006
you can erase old checks and deposits. Just go to the Main
Menu>Setup>Clear Data>Year End Checking. Enter
dates before December 31, 2005 and delete you checks and
deposits. If you want to delete your Chart of Accounts and
you checks and deposits, go to the MainMenu>Setup>Clear
Data. On the right hand side of the screen is a blue Empty
Table buttons and a table pull down. Pull down and empty
the following tables one at a time.

If you have upgraded several months ago OR you are on an
older version of ChurchPro, you can create a separate directory
and icon for old data which will keep it separate from the
new data.
1.
Make a new folder called OldChurchPro in the ChurchPro directory.
a. Using Windows Explore or My Computer, highlight the ChurchPro
directory, click on File in the upper left corner, click
New, click Folder. A New Folder will appear near the bottom.
Right click on it and Rename it OldChurchPro.
2. Copy your current version of ChurchPro into your new
Old ChurchPro folder.
a. Click the plus next to your ChurchPro folder. Your latest
version will appear below. It will be called ChurchPro200X,
where X is the latest version of the software.
b. Right mouse click on ChurchPro200X, left click on Copy.
(nothing happens)
c. Right mouse click on Old ChurchPro, left click on Paste.
(folders will fly through the air)
3. Put an icon on your screen that points to new old data.
a. On the desktop, find the ChurchPro icon for your current
data, right mouse click and left click on copy. Another
icon appears.
b. Right click on the new icon, left click on Rename, type
Old ChurchPro, enter.
c. Right mouse click on the Old Church Pro icon, left click
on Properties, left click on the Shortcut tab. Notice the
Target is hightlighted.
d. Using the left arrow on your keyboard, move the cursor
to the left until you see a minus w ( -w ) Change the phase
to the left from “C:\ChurchPro\ChurchPro200X”
To “C:\OldChurchPro\ChurchPro200X” Click OK
You
have now complete the difficult part of the process. Click
on Old ChurchPro and make certain it works.
Now
click on the ChurchPro icon for your current data. Go to
Main Menu>Setup>Clear Data tab. You have two choices
on clearing out the data.
Clearing
only Checks and Deposits OR Clearing Checks, Deposits and
the Chart of Accounts.
Clearing
only Check and Deposits:
On the left hand side is a button Year End Checking. Press
it and put in dates before December 31, 2005. This erases
all checks and deposits for previous years.

out Checks, Deposits and The Chart of Accounts”
On the right hand side is a blue button called Empty Table
and a pull down. Using the pull down find the three files
below, highlight them and press the blue button. Do one
table at a time. This erases ALL checks, deposits and the
Chart of Accounts.

You
can change the screen colors on one of the sets of data
to avoid confusion by clicking on the three color circles
at the top of the ChurchPro main menu.
